This privacy policy explains how edumental gmbh processes personal data (“data”) on the website www.edumentalassign.pro (EdumentalAssignPro, EMAPro for short). It applies exclusively to this website. edumental.ch and not-yet.store have their own privacy policies. This translation is provided for information only; the German version alone is binding.
The Swiss Federal Act on Data Protection (FADP) applies. Where we address people in the EU, we also comply with the EU General Data Protection Regulation (GDPR).

2. Website hosting (Odoo)
The website runs on Odoo and is hosted by Odoo S.A. (Chaussée de Namur 40, 1367 Grand-Rosière, Belgium) as part of Odoo Online. Odoo S.A. processes the data as a processor under its Data Processing Agreement.
Our database is located in the Odoo Europe hosting region. The servers are in data centers in the EU (currently France and Belgium; sub-processors OVH SAS and Google Cloud EMEA Ltd); backups are kept in the EU (France, Netherlands, Sweden) and, until Odoo completes a migration, possibly also in Canada. Under Swiss law, the EU and Canada are considered to provide adequate data protection.
When you visit the website, technically necessary data is processed:
- IP address, date and time of access
- page visited, referrer URL
- browser type, operating system and language setting
This data is used to provide the website, for security and for error analysis. Server and security logs are kept by Odoo S.A. for a maximum of 12 months, unless they are needed longer for security reasons or by law.
3. Visitor statistics (Odoo)
For simple visitor statistics we use Odoo’s built-in visitor tracking. Odoo creates a pseudonymous record for each visitor (Odoo model “Website visitor”). The following is stored:
- a pseudonymous identifier (access token, derived from technical characteristics such as IP address, browser identifier and session)
- country (derived from the IP address), language and time zone
- pages visited with time, number of visits and time of the last visit
The identifier is linked via the technically necessary session cookie session_id; no additional statistics cookie is set. The data is not passed on to third parties or combined with other data unless you identify yourself to us (e.g. by sending an inquiry). Inactive visitor records are deleted automatically by Odoo (daily clean-up job, by default after 60 days without a visit).
The purpose is to see which pages and guides are used in order to improve the website. The legal basis under the GDPR is our legitimate interest (Art. 6(1)(f) GDPR). You can object to this analysis at any time by writing to us at info@edumental.ch ; you can also prevent the linking by blocking cookies in your browser or deleting them after your visit.
4. Contact and email
When you contact us by email (info@edumental.ch) or phone, we process the information you give us (e.g. name, school, email address, phone number, content of your inquiry) to answer your inquiry, set up a trial or provide support.
Our mailbox is run on Google Workspace (contracting party: Google Cloud EMEA Limited, Dublin, Ireland; sub-processors include Google LLC, USA). Data may therefore be transferred to the USA. Google LLC is certified under the EU-US and Swiss-US Data Privacy Framework; in addition, the European Commission’s standard contractual clauses or the version recognized by the FDPIC apply.
5. Contract, licenses and invoicing
For licenses, quotes and invoices we process contact and contract data of the school or its contact persons (name, role, address, email, phone number, billing details). We create and manage quotes and invoices in Odoo (see section 2 on hosting and server location).
We keep invoices and accounting records for the statutory period of 10 years (Art. 958f Swiss Code of Obligations).
6. Data in the EdumentalAssignPro (EMAPro) plug-in
This policy covers the website. For use of the EMAPro Teams plug-in: assignment metadata and the assignment library are stored encrypted on servers of FireStorm ISP GmbH (Kirchenrainstrasse 27, 8632 Tann, Switzerland; UID CHE-114.927.665) in Switzerland. Access depends on the roles in Microsoft Teams and the groups in EMAPro. Details can be found on the “Data protection” and “Data security” pages. Each school is the controller for data processed in the plug-in; edumental gmbh acts as processor. The details are set out in a separate data processing agreement that we conclude with each school.
7. Cookies
The website only uses Odoo’s own cookies. We do not use third-party analytics or marketing services (e.g. Google Analytics, tracking pixels).

No cookie banner is currently shown because no third-party or advertising cookies are used. You can delete or block cookies in your browser at any time; some website functions may then not be available.
If further services are used in future (e.g. embedded videos), we will update this policy and, where necessary, obtain your consent beforehand.
8. Disclosure of data
We do not sell data or pass it on for advertising purposes. Data is only disclosed to the processors named above (Odoo S.A., Google, FireStorm ISP GmbH), where required by law (e.g. by order of an authority) or to protect our rights.

After that, the data is deleted or anonymized.
10. Data security
The website is only accessible via an encrypted connection (HTTPS). We and our processors take appropriate technical and organizational measures to protect data against loss and unauthorized access.
11. Your rights
Under the FADP (and the GDPR where applicable) you have in particular the right to access, rectification, erasure, restriction of processing, release or transfer of your data, and to object and withdraw consent. To exercise these rights, contact info@edumental.ch. You may also lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC, www.edoeb.admin.ch) or with a competent supervisory authority in the EU.
12. Changes
We may amend this policy if the website or legal requirements change. The version published on the website at the time applies.
